When to Use?

For general information about Okta and why GVSU has selected Okta as our single-sign-on/multi-factor authentication (MFA) provider, please visit https://www.gvsu.edu/cybersafety/okta-42.htm.

This guide will outline the steps needed to access the GVSU Okta environment. You will get a "Welcome to Okta!" email once your account has been setup. You may access your applications whenever you want using Okta on your desktop, laptop, smartphone, or tablet.

Procedure

Step 1.  Begin your GVSU account setup by one of the following options:

 

Visit Okta at https://my.gvsu.edu

"Welcome to Okta!" email

Okta New Page

Enter your credentials and click "Sign in" to start

Click "Activate Okta Account" to start

Step 2.You will be prompted to update your password if you are a new employee and haven't done so already. Please move on to the next step if your password has already been updated.

Please adjust your password to comply with the password requirements listed on the prompt displayed for you (the screenshot below is only an example) as password requirements vary by account type. Once comple click "Change Password."

Step 3. To continue the Okta setup process, choose a MFA (Multi-Factor Authentication) option.

We recommend Duo Universal MFA or Okta Verify. The remaining steps will use Duo Universal MFA as an example.


 

Step 4. Click "Enroll" Duo Universal MFA

Click "Enroll" under Duo Universal MFA.

 

Step 5. If you have not already completed the Duo enrollment process, you will be prompted to do so. Duo enrollment instructions are listed below. If you have already completed the Duo enrollment process, please continue with the next step.

  • Duo Introduction

    • Click Next (three times) to learn why protecting your identity with two-step verification is important. You will then begin the setup process.

  • Choose Your Verification Method - Duo Mobile

    • Click Duo Mobile. Duo automatically recommends the most secure option to you, so it is a good idea to set up that method first.
      • Duo Mobile is an app which runs on iOS and Android phones/tablets. It is fast and easy to use, and does not require cellular service. Duo will push log in requests to the Duo Mobile app when you have mobile data or wifi connectivity. When you have no data service, you can generate a passcode with Duo Mobile for logging in to an application.
    • Select your country from the drop-down list and type your mobile phone number, then click Add phone number.

      • If you are going to use Duo Mobile on a tablet (like an iPad) with out cellular service, do not enter a phone number, click I have a tablet instead.
         
    • If you entered a phone number, double-check you entered it correctly and click Yes, it's correct to continue (or No, I need to change it to go back and enter the number again).

      • If the phone number you entered already exists in Duo as the authentication device for another user then you will need to enter a code sent to that number. Choose how you would like to receive the code (text message or phone call) and enter it to complete the ownership process.

    • Download and install Duo Mobile on your phone or tablet from the Google Play Store or Apple App Store. Once you have Duo Mobile installed click Next.

    • Open the Duo Mobile app on your phone or tablet and add your account by scanning the QR code shown on screen. Please note: do not scan the below QR code; Each QR code is unique per user.

      • If you are not able to scan the QR code, tap Get an activation link instead and then enter your email address to send the activation link to yourself. Follow the instructions in the email to activate your new account in Duo Mobile.
         
    • When you receive confirmation Duo Mobile was added click Continue. You may be asked to add another way to log in, click "Skip for now."

Step 6. Check for a Duo Push on your cell phone device.

Continue configuring your Duo Universal MFA by accepting your push notification.

 

Step 7. You will receive an Okta security method enrollment notification email. 

You may receive an email verifying enrollment in your MFA security method after setting up your MFA.
 

 

Step 8. Optional to enroll in a second MFA (Multi-Factor Authentication) or click "Set up later."

We strongly recommend that you set up "Phone" MFA option, in case you forget your password this will enable you to go through the password reset option using Okta. 

Alternatively, this can be set up at a later date by following this Knowledge Base article. Okta Verify is also an alternative to Duo Universal MFA.


 

Step 9. You have completed your Okta setup and will be redirected to the Okta dashboard.
