Classroom or Lab Software Installation

Description

Request a new software application to be installed in a classroom or computer lab.

The minimum lead-time to install software in the lab environment is between 4 – 8 WEEKS. This may vary depending on the time of year, especially at the start of a new Academic Year and the requested software specifications. Please take this time into account when submitting a request.

The faculty member will be required to:
1. Provide proof of legal ownership of sufficient licenses before the request is approved.
2. Provide proof that no license is required in the event that the software is freeware.
3. Test the software application in the lab environment before it is released to all GVSU labs.

Upgrade requests:
The requested software must be a fully released version and not BETA software.
• BETA software can often lead to unpredictable behavior, which in turn can cause downtime for the scheduled class period and the students. Because of this, IT discourages requesting BETA software. Obviously exceptions can be made, but only after the faculty member has fully tested the software, AND it proves to fix known issues that are currently encountered with the existing version.
If the previous version of the software was installed less than one year prior, the Faculty/Staff member will need to submit justification for the upgrade.
• Upgrading software versions mid-semester or mid-year can cause problems for students, therefore the request for an upgrade needs to be well thought out before it can proceed. Different versions of software packages can use different file formats and different textbooks. Upgrading to a newer version mid-semester can cause unwanted compatibility issues and increase the learning curve for the students, both of which can limit the efficient use of valuable class time. It is recommended that software upgrades be implemented between academic years or at the very least, between semesters.
• If the upgrade is approved, the previous version of the software will be removed from the lab environment. Multiple versions of the same app only confuse students, while also making troubleshooting more difficult for IT in the event of a problem.
