Shared and Edit Outlook Calendar Permissions

When to Use

If you have a calendar you want to share with others, or need to change existing permissions, you can use Outlook on the web to manage these settings. The steps are the same whether you are using a Mac or a Windows PC.

These steps will also work for calendars from shared mailboxes or room/resource calendars.

Default Calendar Permissions

By default, all GVSU calendars allow “free/busy” visibility for accounts within our organization.

This allows colleagues to request meetings with you or a conference room without having access to the titles or details of specific events. Below is an example of what a calendar looks like to someone who only has the default "free/busy" permissions.

Procedure

If you need to grant additional permissions for a calendar, use the following steps:

  1. Using Outlook on the web, access your shared mailbox that contains this calendar.
    Note: If this is a calendar from a shared mailbox or resource calendar, see our guide, Open Another Mailbox Using Outlook On the Web and continue on to step 2.
  2. Once in logged into the mailbox, click the calendar icon
  3. Click the three-dots next to the calendar you wish to share or edit. (“Calendar” is the default calendar)
  4. Choose Sharing and permissions

  5. In the Sharing and Permissions menu, you can enter in new email addresses to share the calendar with, choose the permission level for that account, or click the trash icon to remove their permissions

  6. Click the “x” in the top-right corner to save your changes

Notes

  • If you have a delegate and would like to change their permissions to an editor, reviewer, etc., you’ll need to delete their access and re-add them.
