Google Groups

When to Use?

Google Groups allows you to communicate and collaborate with multiple people using a single shared email address. Rather than managing individual recipients, you can create a group to simplify communication and access to shared resources.

Google Groups can be used to:

  • Send group emails: Communicate with an entire team, department, committee, or organization using one email address.
  • Share Google Workspace resources: Grant access to Google Docs, Sheets, and Drive folders to multiple people without adding each person individually.
  • Schedule meetings and events: Invite an entire group to a Google Calendar event instead of selecting individual attendees.
  • Manage collaboration: Keep members informed and provide a central point of communication for projects, teams, and organizations.

Owner-Defined Groups

Owner-defined groups are managed by designated group owners who determine membership and configure the group's settings.

These groups are commonly used by:

  • Student organizations
  • Project teams and working groups
  • Groups collaborating with external organizations

Key Features:

  • Membership management: Group owners can add or remove members as needed.
  • Flexible configuration: Owners can manage group settings, including who can send messages and access group content.
  • External collaboration: Groups may include individuals outside GVSU, such as community partners, or external collaborators, when permitted by university settings.
  • Centralized communication: Members can receive messages sent to the group's shared email address.

Owner-defined groups are particularly useful when membership changes frequently or when a department or organization needs direct control over who participates.
