When to Use?

Zoom Scheduler lets people book time with you based on your available schedule. It connects to your Microsoft 365 or Google calendar and can automatically create Zoom meetings.

Use Zoom Scheduler when you want to:

  • Set up office hours or advising meetings
  • Let others schedule meetings with you
  • Avoid emailing back and forth to find a meeting time
  • Use Zoom Scheduler instead of Calendly or Microsoft Bookings

Procedure

Access Zoom Scheduler

Option 1 – Zoom Website

Option 2 – Zoom Desktop App

  • Open the Zoom desktop application.
  • Sign in with your GVSU Zoom account.
  • Select scheduler tab from the left navigation menu.

If you do not see Scheduler, select:

  • More

Then select:

  • Scheduler to add it to the taskbar/navigation menu.

Select:

  • Create Schedule

Create Schedule

Configure:

  • Meeting length
  • Available days and times
  • Buffer time between meetings (optional)
  • Zoom meeting settings

When prompted, select:

  • Connect Calendar

Select either:

  • Microsoft 365 / Outlook Calendar  
  • Google / Gmail Calendar

Sign in and approve the requested permissions.

  • Once connected, Zoom Scheduler will use your calendar availability to help prevent double booking.

Share Your Scheduling Link

After saving your schedule, Zoom will create a scheduling link that you can share through:

  • Email
  • Outlook signature
  • Blackboard
  • Teams
