Overview
  • Obtain and use Scantron forms to administer your tests.
  • Note that pencil is required for filling these forms.
  • Bring test forms and key(s) to a Scantron location on campus.
  • Login at the Scantron station computer using your faculty/staff login and password.
  • Follow the prompts on the Scan Menu that will appear shortly after login. The Scan Menu will step you through the scanning process.
  • Scantron saves scan form answers into a simple text file, and the Scan Menu will then read that file to score the test, provide options for adjusting the answer key or student answers, several reports that you can print, save, or email to yourself, and an option to save the Test Results in a csv file for uploading into Blackboard Ultra.
  • Be certain to log off before you leave this station.
Locations

GVSU has 6 Scantron stations, with 3 in Allendale and 3 in Grand Rapids. 
One Opscan 8 scanner is in Au Sable Hall.  The other five locations have iNSIGHT 4ES scanners.

Obtain Scantron Forms

Scantron paper ream purchases will now be handled through the Copy Center rather than IT. This transition intends to make purchasing reams easier for users.

Reams can be ordered from the Copy Center website by clicking on “New Order” in the top menu and then selecting “Store Order”. If you have any ordering issues or need a Copy Center login, please contact the Copy Center at copycenter@gvsu.edu or call 616-331-3407.

Administer Tests – Filling Answer Key(s) and Student Test Forms
  • Use Pencil only
  • Instruct Students to fill in their Network ID.  The GNumber section may be left blank.
  • When using multiple answer keys, instruct Students to fill in the appropriate Test Form bubble (A, B, C, D, or E).

General Purpose Answer Sheet

Note: This is the correct orientation for placing the sheets into the Scanner's input tray.
The black timing marks along the bottom edge should always be near the front of the scanner.

  • Use Pencil to fill forms.
  • Answer Key(s) should have 99999999 filled in the G-Number section (1), and correct answers marked (2) for each question to be scored. Questions left blank on Answer Key will be ignored. It is helpful (not required) to fill in the Network ID (3) of the Instructor.
  • Student tests must have Network ID (3) filled in to identify students. This is the same ID students use to access Blackboard, GVSU Email, and to login to lab computers.
  • If you have more than one Answer Key for a test , mark each key with a different Test Form  (4) option: A,B,C,D,or E;
    Student tests must have the appropriate Test Form option filled in to match with the corresponding Answer Key. (*help is provided during scoring if a student omits this)
  • Fan the sheets to help prevent them from sticking together.
  • Tap the sheets on the table to line them up evenly - all in the same direction.
Scanning Procedure

  • 1. Login at the Scantron station computer using your faculty/staff login and password.
  • 2. The Scan Menu will appear shortly after login. The Scan Menu will step you through the scanning process.

    The first time you login, you may need to click the Enable Content button if you see the following:

  • 3. Choose to scan Tests and Quizzes .

  • 4. Use the default form: Green General Purpose Answer Sheet (GPAS) when there is only one correct answer for each question.
    or choose the second form: Green GPAS read Mult Marks when you expect multiple answers on one or more questions.
    Click Next >.

  • 5. Set serial number printing options.

  • 6. Load Test Forms: review procedures for the appropriate scanner model:

    Loading Scan Sheets

    Inspect and Load Sheets:
    1. Inspect the sheets for folds, tears, post-its, etc. Pages must be clean and flat.
      Stack scan sheets neatly – all in the same direction.
      Tap them down so they are even.

    2. Press the PRESS TO LOAD button, and place sheets into the Input Tray.
      Release the PRESS TO LOAD button.

    3. Be sure the sheets fall under the MAXIMUM SHEET LEVEL shown on the
      SHEET GUIDE and pull the SHEET GUIDE forward to hold sheets in place.
       
    4. You may add more sheets after the first batch has been scanned
       
    5. Make sure the two tabs ( READ HEAD and SHEET DEFLECTOR ) are pressed down firmly .
       
    6. PREPARE OUTPUT BIN:
      If you have the single output tray, then adjust the
      adjustment bar to the length of the sheets you will
      be scanning.

      If the 2-Output Tray  Select Stacker  is attached to the scanner, then make sure the  2 wire handles are pulled out  as far as they can go on the two output trays.

    7. When the Input Tray is empty, you may load more sheets ( PRESS TO LOAD ), and then press the  START  button below the Display Panel to continue scanning.

    Loading Scan Sheets

    1. Be sure the sheets fall under the  MAXIMUM SHEET LEVEL  shown on the
      SHEET GUIDE and pull the  SHEET GUIDE  forward to hold sheets in place.
       
    2. When the Input Tray is empty, you may load more sheets into the input tray,
      and then press the  START  button below the Display Panel to continue scanning.
       
    3. Test forms will pass through the scanner, have a serial number printed below
      the timing marks, and end up in the top output tray.

    4. If a test form ends up in the lower output tray, this indicates a problem.
      It may be an unexpected form, or placed upside down, or it has multiple marks.
      Inspect any forms landing in the lower tray. 
      If they have a serial number printed on them, then they have been scanned and recorded.
      If they do not have a serial number, you may try re-scanning them.

    7. Click Next > to begin Scanning.

  • 8. After the last sheet is scanned, click the  Stop  button that appears on the screen, or press ESC  on the keyboard.

    9. You may choose to save the raw Scantron data as a simple text file (this can be used for scoring later).
    Click Next.
  • 10. Review option to correct multiple marks, and choose Yes (default) or No.

  • 11. When multiple marks are found on a question, you will have an opportunity to make corrections.
    Find the sheet and review the Question Number. 
    Sometimes it is obvious that one answer was intended, and you can make the correction here.

    If there are many multiple marks and you do not wish to review them all, you can click
    to place a check mark next to Stop Checking for Multiple Marks , then click OK.
     
  • 12. When scoring is complete, you will see a score distribution chart of your test data.
    The left panel provides options to generate reports, save data into a format for Blackboard, edit results and rescore.

  • Be certain to save or print results and log off before you leave this station.

    Set the Report Header (optional)
    Select All or check the boxes to select individual reports.
    Then select Print, Save, or Email to obtain the reports.

Exporting a Blackboard Compatible Scantron File

  1. Login to the Scantron computer workstation using your GVSU username and password.

If you are planning to email your test results to your GVSU Outlook account, you must open Microsoft Outlook before scanning your test forms.

  • Launch Microsoft Outlook using the Windows start icon/menu.

  • Verify with DUO and approve.

NOTE: The above steps are only required if you intend to email the test results to yourself.

  1. The scanning Menu will appear automatically. Select Test and Quizzes .

  1. Scan your test forms and click Next .


     
  2. Verify multiple marks and click Next .

  1. On the Test Scoring Complete page select the Export to Blackboard tab in the menu.

  1. On the Export to Blackboard page choose/edit the following:
  1. Select Score Another Test or Exit Test

Note: If selecting Exit test choose either Erase and Go to main menu or Log off

Uploading the CSV File to your Blackboard Ultra Course Gradebook

Option 1: Creating a New Gradebook Item
  1. Open the file and rename the test column to the desired Gradebook item name, this is the name that will appear in your Gradebook.

  1. Save the file.
  2. Navigate to your course.
  3. Click the  Gradebook  tab on the top navigation menu.

  1. In the upper right hand corner of the  Gradebook , click the Upload Icon.

  1. A new window will appear on the right titled  Upload Gradebook.
  2. Under  Browse Files , click  Upload Local File.

  1. Select the  file from Step 1.
  2. Verify the information, and click  Upload.

  1. An item with the name of the score column will be created and the grades will be populated.

  1. Located the Gradebook item, verify all the grades are correct, and click  Post all grades  when you want students to be able to view the scores.

Modifying Answer Key and Rescoring

You may edit the Answer Key to:

  • Change an Answer
  • Include additional correct answers (A or B, for example)
  • Give everyone credit for a question
  • Ignore a question
  • Change the point values for all questions or for individual questions

Choose Edit Answer Key and Points to view the Answer Key(s).
For multiple Answer Keys, use the Test Form dropdown in the upper left corner to select form A, B, C, D, or E.
Select a question number row and type the new answer or answers, or use the buttons displayed in the upper right section to change the correct answer(s), choose to give automatic credit for a question, or to ignore the question.  To mark a question as Extra Credit, put a checkmark in the ExtraCredit column. Use the PointValue column to change points for individual questions.  For a quicker way to set point values, choose the Change Point Values button at the top of the screen.

Changes are saved automatically.

After making changes to the Answer Key on this screen, the test will automatically be rescored.
Return to Reports Export to Blackboard , or  Export/Save Data  to obtain the new results.
