When to Use?
Zoom AI Companion is an optional set of AI features available to Grand Valley State University faculty and staff with licensed Zoom accounts. AI Companion can help improve meeting productivity by generating meeting summaries, identifying action items, and providing other AI-assisted features without requiring a cloud recording.
AI Companion is disabled by default during meetings. Meeting hosts choose whether to enable AI Companion for each meeting or configure it to start automatically based on their personal preferences. Participants are notified whenever AI Companion is activated during a meeting
Procedure
Available Features
GVSU currently supports the following Zoom AI Companion features:
Meeting Summary
Meeting Summary automatically creates an AI-generated summary after a meeting ends. The summary may include:
- Key discussion topics
- Decisions made
- Action items
- Meeting highlights
- Suggested next steps
Meeting summaries are generated from the meeting transcript but are not a replacement for a recording or full transcript. The host can review, edit, delete, or share the summary after the meeting concludes.
Other features include:
- Meeting Questions – Lets participants ask AI questions during a meeting, such as "What did I miss?" or "What are the action items?"
- Smart Recording – Adds AI-generated chapters, highlights, and action items to cloud recordings.
- In-Meeting Chat Compose – Helps draft or rewrite chat messages during meetings.
- Task Extraction – Identifies action items and follow-up tasks from meeting discussions.
Before You Use AI Companion
Before enabling AI Companion, consider whether it is appropriate for the meeting. Use caution when discussing:
- Confidential personnel matters
- FERPA-protected student information
- HIPAA-protected health information
- Legal or privileged discussions
- Other sensitive or restricted university information
Note using AI Companion does not automatically create additional FOIA concerns. GVSU retains ownership of all meeting content, and Zoom uses that content only to provide AI Companion services. As with meeting notes, transcripts, and recordings, AI-generated summaries should only be shared with appropriate individuals and handled in accordance with university policies.
Who Receives the Meeting Summary?
By default, the meeting host receives the summary after the meeting ends.
Depending on the host's settings, the summary may also be shared with:
- Internal meeting participants
- Invited attendees
- All participants
The meeting host controls who receives the summary.
Configure Your Personal AI Companion Settings
You can customize how AI Companion works for meetings you host.
- Sign in to the zoom.us
- Select Settings.
- Open the AI Companion section.
- Configure your preferred options.
Available options may include:
- Enable or disable Meeting Summary
- Automatically start Meeting Summary for meetings you host
- Choose who automatically receives meeting summaries
- Receive email notifications when summaries are available
- Select your preferred meeting summary template
Note some settings may be locked by GVSU IT and cannot be modified.
