When to Use?
Legacy gvsu.edu accounts were not previously managed by GVSU IT and have now moved to a premium account model, incurring a monthly fee. This is being charged outside GVSU's standard licensing costs associated with the mail.gvsu.edu domain. To avoid duplicate costs and ensure continued access, all active legacy accounts and associated data must be migrated to the supported domain within the next 30 days.
On February 16, 2026, all gvsu.edu Google Workspace accounts will be deactivated. If you wish to migrate any data from these accounts, you must submit a request no later than February 16, 2026 to security@gvsu.edu.
Accounts for which no migration request is received by this date will be permanently deleted on March 2, 2026.
There are three options described below:
Procedure
Option 1: Account No Longer Needed
If you no longer need the account or do not have any data to retain, no action is required. The account will be automatically deleted on March 2, 2026.
Option 2: IT-Managed Google Drive Migration
IT can migrate Google Drive documents on your behalf.
If you do not already have a username@mail.gvsu.edu account, IT will create one for you. To perform the migration, IT will require temporary access to this account.
What Is Included:
- Google Drive documents owned by your account
Limitations Include:
- No Google Photos
- No Google Chat
- No Google Calendar
- No Files shared with you by other users
- No Existing sharing permissions and access settings
Important: Only files owned by your account can be migrated. Sharing and permissions will need to be recreated manually after the migration is complete.
Option 3: User-Managed Google Backup (Google Takeout)
You may choose to create your own backup using Google Takeout and move your data independently.
If needed, IT can create a username@mail.gvsu.edu account for you upon request.
How It Works:
- The user initiates the export using Google Takeout: https://takeout.google.com
- Google Takeout allows you to export data from most Google services
- This option provides the most comprehensive data backup
Important Notes:
- The process must be completed by the user
- IT cannot move or import Google Takeout data on your behalf
- Exported files may require additional formatting or conversion after download
Option 3: Account No Longer Needed
If you no longer need the account or do not have any data to retain, no action is required. The account will be automatically deleted on March 2, 2026.
Choosing the Right Option
- Choose Option 1 if you no longer need anything from this account.
- Choose Option 2 if you only need Google Drive documents migrated and prefer IT to handle the process.
- Choose Option 3 if you want a full backup of your Google data and are comfortable managing the export and data transfer yourself.
