Gradebook Management

1. Navigate to the Grid View of your Gradebook and select the Filter button.

 
2. In the Gradebook Filters panel, select the filters you want to apply from the options available and Apply to see the results.

3. To clear the filters and reset your Gradebook view, select Clear all filters.

Filter for Merged Courses

You can download the full gradebook or selected columns from your courses to work with in another program outside of Learn, such as Microsoft Excel to do statistical analysis. You can also make changes to exported grades in another application and then upload them back into Learn. 

These columns are included in an exported grade file:

• Last name, first name, and username
• Student ID, last access, and availability
• Grade columns
• Attendance
• Manually added items
• Calculations
• Overall grade

Download Grades from the Gradebook

1.    From the gradebook, select the Download icon.  The Download Grades panel opens.

 
2.    Choose whether to download the full gradebook, select items, or grade history.
3.    Select the file type for the downloaded file. Data files are comma-delimited (CSV) or tab-delimited (XLS).
4.    Select the location for the download. You can save the file to your device or select a folder in the Content Collection.
5.    Select Download.

 
NOTE: You can't include items that allow anonymous grading, two graders per student, or peer review in the downloaded file. 

Grade information

When you download the full gradebook, the file includes the grades you posted or are ready to post. No feedback is included. Overall grades are included if you set that up in your gradebook.

Grades you assigned appear as points, letters, or percentages based on how you chose to display each graded item in the gradebook. The column header includes the grade display.

 
If you haven't created any graded items, you may still download the gradebook. If you complete a course, you may no longer download the gradebook.

Upload a file to the gradebook

In the gradebook, select the Upload icon to open the Upload Gradebook panel. To upload a correctly formatted file, you should download the gradebook first. Then, edit the file with the data you want to upload. In the downloaded file, be sure to clear any cells you want to add a new grade to. For example, if "Ready to Post" appears with a grade, remove the text and the grade.

 
You can drag a file from your computer and drop it in the "hot spot" of the upload panel. You can also browse your files or use one you stored in the Content Collection.

In the panel, you can review the list of columns you changed in the file you want to upload. Clear the checkboxes for any data you want to exclude from the upload.

 
In the Grades view, columns with grade changes appear highlighted for a few seconds to show where the changes occurred.

Any grade additions or changes you made to non-posted grades in the file appear as overrides in your gradebook. In the Students list view, you can open a student's submission and select Undo Override if needed. If you change a posted grade in the file, you'll need to post the grade again.

When you upload a CSV file of graded submissions, these HTML tags are currently unsupported and removed from the Feedback to learner column: <b>, <i>, <u>, and <s>. As an alternative, you can use BBML tags.

If you complete a course, you may no longer upload a file to the gradebook.

File format guidelines

You can only upload a file in a comma-delimited (CSV) or tab-delimited (XLS) format. Reminder: To upload a correctly formatted file, download the gradebook. Then, edit the file with the data you want to upload.

To synchronize external data to gradebook data, unique identifiers are necessary for each student and for each column in the gradebook. The unique identifier used for each student is the student's username. The unique identifier for each column is a column ID number. Column ID numbers are generated by the system and shouldn't be changed or deleted.

You can add a column without a column ID number in the file you upload to create a new column in the gradebook. However, you must add at least one student's grade so the column is recognized and uploaded. The system adds a column ID number. You can edit the column after it appears in the gradebook to add the points total.

View errors

After you upload a file, a list of errors appears if you've made changes that adversely affect the gradebook. You're also notified about invalid usernames. Select View Error Details to learn more.

 
For some errors where you've cleared grades, you must select a result.

Examples:

You're about to clear some grades with attempts. Select a result:
•    Preserve grade
•    All attempts appear as submitted but not graded

You're about to clear some override grades with attempts. Select a result:
•    Use the attempt grades
•    All attempts appear as submitted but not graded

For some errors, you can continue to upload with a warning that some data with errors may result in unwanted effects.

 
Download the Grade History

Instructors and administrators have the ability to download a course’s grade history if they want to keep a record of the changes that have been made to the gradebook or need to quickly address student questions and grade challenges.

Download the grade history from an Ultra course.

The “ID” field in Blackboard shows a student’s entire Gnumber. When using the gradebook, faculty will need to ensure strict FERPA data security measures while displaying Blackboard screens.
The Gnumber is stored in the Student_ID field which is visible in the following places in Blackboard:
•    Gradebook (available to Instructors, & Teaching Assistants)

 •    Base Navigation user profile page (available to individual user)

 
•    Grade Center download spreadsheet/csv (available to Instructors and Teaching Assistants)
 
 Note:  only students requiring mid-term grades show up in Banner template download for Midterm Grades.

Export Grades from Blackboard

(To be completed by the Instructor of Record for each Bb course site. )
1.    Open Course
2.    Click on Gradebook
3.    Ensure a final grade (or midterm) column exists with ‘Letter Grade’ as display type.

 
      Note:
•    Allowed Letter Grades in Banner: A, A-, B+, B, B-, C+, C, C-, D+, D, F, CR, NC, I
•    A+ and D- do not exist in Banner but do in Blackboard.
•    Ensure there are no spaces around letter grade; spaces will cause upload to Banner to fail.

4.    Download the Gradebook. 

**Caution:  This download contains confidential student data including Gnumbers. It must be stored securely, should not be transmitted via email and must not be posted publicly.
        
5.    Select the Final Grade (or Midterm grade) column that contains the final letter grade and click the Download button.
 

1.    Open the downloaded file.

•  Note: for Merged course sites, you will get one file with a Child Course ID column filled in. You will need to sort and then separate into separate files for Banner upload to the individual courses in Banner.

2.    By default, your downloaded spreadsheet should be in .xls format and sorted by Last Name and First Name, if not, please ensure to: Sort the spreadsheet by student Last Name, and then First Names fields in Excel.

• Save the modified file in the XLS format.

 
 
Import Grades to Banner

Banner 9 Faculty Grade Entry includes a function that allows faculty to import their grades one section at a time using a properly formatted Excel spreadsheet.
1.    Once you’ve entered the Banner 9 Faculty Grade Entry page, select the course you wish to grade. The student grade roster will appear in the lower pane, ready for grading.
2.    In the upper right corner of the page, click on the gear icon and select Export Template. This will allow you to download an Excel spreadsheet to which you can add individual grades and then upload.
 

 
3. Follow the download prompts, selecting the export file type and export destination.

**Caution: This template contains confidential student data, including G numbers, and must be stored securely, should not be transmitted by email, and must not be posted publicly.

4. Open the resulting file in Excel.

• Note: Dropped students will be listed with a grade of W on the template.  Remove or hide these rows.

5.    Sort the spreadsheet by full name and that is formatted "Last Name, First Name, Middle Initial".

6.    Add the grades from Blackboard download to the Banner template and include LDAA dates for any F or NC grades. (LDAA format:  mm/dd/yyyy)

 
7.    Save the Banner exported spreadsheet to save the newly entered data.

8.    To import your grade spreadsheet, return to Banner and click on the gear icon and select Import.
 

 
9.    Click Upload and follow the prompts to locate your recently saved grade template, then click upload again, then continue. 

10.    Follow the prompts to map your spreadsheet columns to match the import requirements. The required fields for a successful import of final grades are Term Code, CRN, Student ID, Final Grade (or 'Midterm Grade') and Last Attended Date. Recording a Last Attend Date is not required for Midterm Grade Entry. Follow the prompts to validate your import file. An improper grade (outside of standard GVSU grades), or improperly formatted LDAA dates will result in an error and that grade will not be imported with the rest.
11.    Once your import is complete, you will see a message that says, “The import wizard is complete,” click Finish.
